Simple gym management software that fits a small team
Most small gyms run on one owner, maybe a front-desk helper, and a notebook full of names and dates. Gym Management Soft replaces the notebook without adding admin work. You add a member with a name and an optional email or WhatsApp number, take their photo with your phone camera, pick a plan and mark the fee paid or unpaid. The member gets their login automatically, with a link that signs them straight in. There is no server to install and no training course to sit through. If you can use WhatsApp, you can run your gym on it.

Runs in any browser, nothing to install
Small gym software priced by the member, not the tier
Most gym software is priced with bigger gyms in mind. According to Gymdesk, a typical gym pays roughly $100–300 a month for its software. Gym Management Soft charges $1 per active member per month, with every feature included. A 30-member gym pays $30 a month and a 75-member gym pays $75. Billing runs in 30-day cycles from the day you sign up, you are billed for active members only, and there is no contract to sign. See the full breakdown on our pricing page.

Software for independent gyms that sell daily, weekly and monthly plans
Independent gyms rarely sell just one plan. You might have a monthly weights membership, a weekly pass for visitors and a daily drop-in rate. In Gym Management Soft you create each plan once: tick the facilities it includes, such as weights, cardio, lockers or personal training, choose daily, weekly or monthly, and set the price. When you subscribe a member, you pick a start date, like the 1st of the month, and every invoice after that is created on schedule. Not sure what to charge? Read how to price gym memberships.
Owner-defined facilities on every plan
Daily, weekly or monthly periods
Start dates picked from a calendar
Automatic invoices and reminders, so you stop chasing fees
Chasing fees is the job small gym owners dislike most, and it usually happens late at night on WhatsApp. At the end of each period, Gym Management Soft generates the next invoice and sends it to the member with your logo on it. A renewal reminder goes out before the plan ends, by WhatsApp, email or push notification. When the member pays in cash or by bank transfer, you or your counter record the payment against the invoice and its status moves from pending to paid. You can see who owes money without scrolling through old chats.

Boutique gym software with a member app included
Boutique gyms compete on experience, and members expect to see their plan and progress on their phone. Every member of your gym gets an installable web app that works on Android, iPhone and desktop, with no app store involved. They check in when they arrive and check out when they leave, see their visits on an activity grid, follow their streaks and time spent per visit, and open their invoices. You never pay extra for the app, and members never have to hunt for your gym in an app store.

Spot members who are slipping before they cancel
In a small gym, every member who quits shows up in your monthly revenue. IHRSA data cited by PerfectGym puts typical losses at roughly 30–40% of members a year. Attendance usually drops before the cancellation arrives. Because members check in from their phone, you get a day-by-day attendance history for each person and can spot the regular who has not been in for two weeks. A personal message from you at that point is often worth more than a discount. Our guide to reducing gym member churn covers what to say.
$1 per active member. Every feature included.
Free sign-up, no credit card, no contract. A 40-member gym pays $40 a month.
The best fit is software you will actually use every day and that costs less than a handful of memberships. Look for member records, recurring invoices, payment tracking and renewal reminders, and skip features you will never touch. Gym Management Soft covers those basics for $1 per active member per month.
How much does gym management software cost for a small gym?
Gymdesk estimates that a typical gym pays roughly $100–300 a month for software. As of October 2026, Gymdesk starts at $75–100 a month for up to 50 members and GymMaster Foundation costs $89 for up to 100 members. Gym Management Soft costs $1 per active member, so a 30-member gym pays $30 a month.
Is gym software worth it if I only have 20 or 30 members?
Yes, if it saves you from chasing payments and keeping notebooks up to date. At 30 members the cost is $30 a month, and you are billed only for active members. If you still run your gym on spreadsheets, our guide to gym management in Excel vs software explains when switching makes sense.
Can I run a small gym without front-desk staff?
Yes. As the owner you can add members, start subscriptions and record payments yourself from your phone. Members check in from their own app, and invoices and renewal reminders go out automatically. If you hire help later, you can give them a counter login.
Does it work for boutique and personal training studios?
It works well for boutique studios that sell daily, weekly or monthly memberships. You can include personal training as a plan facility and assign a trainer to a member's subscription. Gym Management Soft doesn't do class booking or session scheduling, so studios that sell individual class slots would need another tool for that part.
