Gym Fee Reminder Messages: 20 WhatsApp & SMS Templates

Chasing members for fees is the part of gym ownership nobody enjoys. Send nothing and payments slip. Send the wrong message and a loyal member feels like a debtor. A good gym fee reminder message is short, polite and clear about three things: how much, by when and how to pay.
Below you will find when to send reminders, 20 ready-to-use templates grouped by stage, tips on tone and WhatsApp etiquette, and how to stop sending most of them by hand.
When to send gym fee reminders
Timing matters as much as wording. A simple schedule that works for monthly plans:
- 7 days before the plan ends: a friendly heads-up.
- 3 days before: a short reminder with payment details.
- On the due date: a polite "due today" message.
- 3 days overdue: a clear, firm follow-up.
- 7–10 days overdue: a final notice that explains what happens next.
- 2–4 weeks after the plan lapses: one warm win-back message.
For weekly plans, shrink the schedule: one reminder a day or two before, one on the day and one follow-up. Daily passes usually need no reminders at all.
In the templates, replace {name} with the member's first name, {gym} with your gym's name, {date} with the due date, {amount} with the fee and {payment details} with how to pay, for example your bank account or mobile wallet number. Use {deadline} for the last date to pay before a final action, and {something new} for a real update such as new equipment or longer opening hours.
Friendly reminders before the plan ends
These go out before anything is late, so keep them light. The goal is to make renewing feel normal and easy.
- Hi {name}, a quick heads-up from {gym}: your membership renews on {date}. The fee is {amount}. See you at the gym!
- Hi {name}! Your {gym} plan ends on {date}. To keep training without a break, renew for {amount} via {payment details}. Thank you!
- Hello {name}, just a reminder that your monthly fee of {amount} is due on {date}. You can pay at the front desk or via {payment details}.
- Hi {name}, great work this month! Your plan at {gym} renews on {date} ({amount}). Reply here if you have any questions.
- Hi {name}, your {gym} membership is up for renewal in 3 days ({date}). Fee: {amount}. Payment options: {payment details}.
Due today
On the due date, be direct but warm. Put the amount and payment details in the message so the member can pay in one step.
- Hi {name}, your {gym} membership fee of {amount} is due today. You can pay via {payment details} or at the desk. Thanks!
- Good morning {name}! Friendly reminder that today is your renewal date at {gym}. Amount: {amount}. Payment details: {payment details}.
- Hi {name}, your plan renews today. To keep your membership active, please pay {amount} via {payment details}. Thank you!
- Hello {name}, today is the due date for your {gym} fee ({amount}). If you have already paid, thank you, and please ignore this message.
Overdue: polite but firm
Once a fee is late, stay respectful and assume it was forgotten. State the facts and offer help, but do not apologize for asking.
- Hi {name}, our records show your {gym} fee of {amount}, due on {date}, is still unpaid. Please pay via {payment details} at your earliest convenience.
- Hello {name}, a reminder that your membership payment of {amount} is now overdue. If something has come up, reply here and we can work it out together.
- Hi {name}, your plan expired on {date} and the fee of {amount} is pending. Please clear it via {payment details} to keep your membership active.
- Hi {name}, we have not received your {gym} payment of {amount} yet. If you have already paid, please send us a screenshot so we can update our records.
Final notice
A final notice should be calm and specific. Say exactly what happens and when, then follow through.
- Hi {name}, this is a final reminder that your {gym} fee of {amount} was due on {date}. Please pay by {deadline} to keep your membership active.
- Hello {name}, your membership will be paused on {deadline} unless the pending fee of {amount} is paid. Payment details: {payment details}. Thank you.
- Hi {name}, we have tried to reach you about your overdue fee of {amount}. If we do not hear from you by {deadline}, your membership will be closed. We would love to keep you training with us.
Win-back messages
Send one of these two to four weeks after a plan lapses. No guilt, no pressure. Just an open door.
- Hi {name}, we miss you at {gym}! Whenever you are ready to get back into training, your spot is waiting. Just reply here.
- Hello {name}, it has been a while! We have {something new} at {gym}. Want to come back and try it?
- Hi {name}, life gets busy, we get it. If a weekly or daily plan suits you better right now, reply and we will set it up.
- Hi {name}, thanks for training with {gym}. If you ever want to restart, message us here and we will get you set up in minutes.
Getting the tone right
- Use their first name and sign off with your gym's name or a staff name.
- Keep it short. Two or three lines on a phone screen is enough.
- Assume good faith. Most late payments are forgotten, not refused.
- Be consistent. Send the same reminders to everyone so no member feels singled out.
- Thank people who pay. A quick "Received, thank you!" builds goodwill for next month.
WhatsApp etiquette for gym reminders
WhatsApp is where many members actually read messages, which is exactly why it needs care. A few ground rules:
- Get opt-in first. Ask members at sign-up whether they are happy to receive membership and payment messages on WhatsApp, and note their answer.
- Send during business hours. No reminders late at night or early in the morning.
- Do not spam. Stick to your schedule. Several messages a day about one fee will get your number blocked or reported.
- Keep payment reminders separate from promotions. Members accept account updates more readily than marketing.
- Use a WhatsApp Business account with your gym's name, logo and hours, so members know who is messaging them.
- Follow WhatsApp's business rules. WhatsApp has policies on business messaging, and automated messages sent through its business platform generally use pre-approved templates. Check the current WhatsApp Business policies before automating anything.
The same courtesy applies to SMS and email. If you send reminders by SMS, check your local rules on business text messages and offer an easy way to opt out.
How to automate gym fee reminders
Templates save typing, but you still have to remember who is due, look up their number and send each message. With 50 members that is an evening a month.
