Adding a member takes less than a minute. Enter their first and last name, plus an email address or WhatsApp number if they have one, and take their photo with the phone camera right at the desk. As soon as you save, the member automatically receives their login by email and/or WhatsApp, with a link that signs them straight in. Nobody has to explain passwords at a busy counter. Members can change their password and photo later themselves, and your front-desk staff can do all of this from their own counter login.

Build daily, weekly and monthly membership plans
You create your own plans. Give each one a name, tick the facilities it includes, choose a period and set the price. Facilities are checkboxes you define, so they match your gym: weights, cardio, lockers, sauna, personal training or anything else. A daily pass suits walk-ins, a weekly plan suits visitors in town for a few days, and monthly plans suit your regulars. Prices are shown in your gym's own currency, set from your country. A subscription connects a member to a plan. Search for the member, pick the plan and choose a start date with the date picker, for example the 1st of the month so everyone renews on the same day. You can assign a trainer if the member has one, choose how they're paying and mark the subscription paid or unpaid. The member is notified the moment their subscription is activated, so they know their membership has started and what it includes. Every subscription has a clear start date and period, which means you always know when it ends.

A gym membership management system that renews on time
Renewals are where most gyms lose track. In a notebook, an expired plan just sits there until someone notices. Here, at the end of each period the system automatically generates the next invoice and sends it to the member. Before a plan ends, the member gets a renewal reminder on WhatsApp, email and push notification, so they come to the desk ready to pay instead of surprised. Payment history for every member
Open any member and you can see their invoices and whether each one is paid or pending. When a member says they paid last month in cash, you don't have to dig through a receipt book to check. Each payment is recorded against a payment method you've set up, such as cash, a bank account or a mobile wallet, so you also know how they paid. Membership isn't only something you manage. Your members carry it with them. Each member gets an installable app that works on Android, iPhone and desktop with no app store download. In it they see their plan, their invoices and whether they've paid, their renewal reminders and their attendance. Gym membership software keeps a record of your members, the plans they are on and when each plan ends. Gym Management Soft also creates the next invoice at the end of each period and reminds members before their plan runs out. It replaces the paper register or spreadsheet most small gyms start with.
Can I offer daily passes as well as monthly memberships?
Yes. Each plan has a period of daily, weekly or monthly and its own price. You can run all three side by side, for example a daily pass for walk-ins and a monthly plan for regulars.
Can front-desk staff add members for me?
Yes. Give your front-desk staff a counter login and they can add members, create subscriptions and record payments. You keep full control as the owner, and staff logins use the same login page as everyone else.
Do members need an email address to join?
No. Only a first and last name are required. Add an email address or WhatsApp number if you want the member to receive their login, invoices and reminders automatically.
How do I know when a membership is about to expire?
Every subscription has a start date and a period, so its end date is always known. Before a plan ends, the member gets a renewal reminder, and when the period ends the next invoice is generated and sent automatically.
