Attendance without the paper register

Gym check-in software with full attendance history

Gym Management Soft includes gym check-in software that runs on your members' own phones. They check in when they arrive and check out when they leave, and every visit lands in a full attendance history. Activity grids and streaks make it easy to see your regulars and to spot the members who are quietly drifting away.

  1. 1Add your membersEach member receives their login by email or WhatsApp with a link that signs them in.
  2. 2Members install the appThey add the app to their home screen from the browser and tap to check in on arrival.
  3. 3Watch the gridsReview attendance histories and activity grids, and reach out when a regular stops showing up.

How the gym check-in system works

Each member has the Gym Management Soft app on their phone. It's an installable web app, so it works on Android and iPhone without an app store. When they walk in, they tap to check in. When they leave, they tap to check out. Check-in works once a day, which keeps the record clean, and the time between the two taps is saved as the length of the visit. There's no hardware to buy, mount or maintain at the entrance. The phone your member already carries does the job.

  • Check in on arrival, check out on leaving
  • Once a day per member
  • No hardware to buy

Gym attendance software with a full history

Every check-in is stored by day, with the time spent on each visit. Over weeks and months that builds into a full attendance history for every member, without anyone writing a thing down. You can see who trains five days a week, who comes only on weekends and who hasn't been in for a while. It also settles small disputes. When a member says they've barely used their membership, or swears they came in last Tuesday, the record is right there. Members see their own history in their app too.

  • Visits stored by day
  • Time spent per visit
  • History for every member

Activity grids that show who is slipping away

Attendance is shown as a GitHub-style activity grid, one square per day. A full grid means a member is training regularly. A grid that goes blank is an early warning, usually weeks before they stop paying. That timing matters: PushPress notes members are most likely to quit around month 3, months 6 to 7 and at renewal (PushPress). A quick message or a word from their trainer when the grid thins out can keep them coming. Our guide on reducing gym member churn covers what to say.

  • One square per day
  • Gaps show up at a glance
  • Act before the renewal date

A gym attendance app that keeps members motivated

Members see the same activity grid you do, along with their streaks and how long each visit lasted. For a lot of people, that's motivating on its own. Nobody likes breaking a streak, and watching the grid fill in over a month is a small win they can see. It turns attendance from something you police into something members care about. Because check-in lives in the same app as their plan, invoices and renewal reminders, they open it every visit, which keeps your gym on their mind. A simple workout log is coming soon.

  • Personal activity grid
  • Streaks and time per visit
  • Same app as plan and invoices

Replace the paper gym attendance register

Paper registers and attendance sheets work until they don't. Handwriting is hard to read, pages go missing, and nobody has time to count how often each member came last month. A spreadsheet is a little better, but someone still has to type every visit in. With phone check-ins, the register fills itself. Each member records their own visits, the data is stored safely in the cloud, and you can look up any member's attendance in seconds. If you're weighing the switch, read gym management in Excel vs software.

  • No sheets to fill in or file
  • No typing visits into a spreadsheet
  • Look up any member in seconds

Fitness center check-in software without extra hardware

Larger fitness centers often assume check-ins need dedicated equipment at the door. With Gym Management Soft, members check in from their own phones, so there's nothing to install at the entrance and nothing to break. The member app runs on Android, iPhone and desktop, and members add it to their home screen straight from the browser. Attendance sits alongside memberships, invoices and renewal reminders in one system, so you're not stitching data together from separate tools. Read more about the fitness center software.

  • Members use their own phones
  • Nothing to install at the entrance
  • Attendance next to billing and memberships

FAQ

Check-in & attendance: common questions

How do members check in at the gym?

Members open the Gym Management Soft app on their phone and tap to check in when they arrive, then tap again to check out when they leave. The visit is saved to their attendance history with the time they spent.

Do I need any hardware for gym check-ins?

No. Check-ins happen on members' own phones through an installable web app, so there is no device to buy or install at the entrance.

Can I see how long members stay at the gym?

Yes. Because members check in and check out, the time spent on each visit is recorded. Members can see it in their app as well.

Can a member check in more than once a day?

No. Check-in works once a day per member: one check-in on arrival and one check-out on leaving. That keeps daily attendance accurate and easy to read.

How does tracking attendance help reduce churn?

Members usually stop showing up before they stop paying. An activity grid that goes blank tells you who to contact while there's still time. Industry figures cited by PerfectGym put member losses at roughly 30 to 40% a year (PerfectGym).
